Privacy Policy

BeWell Privacy Policy (including GDPR compliance)  Last updated: [1st July 2026]  


1. Purpose of This Policy  

BeWell is committed to protecting your privacy and handling all information with care,  respect and transparency. This policy explains how BeWell collects, uses, stores and  protects personal information in line with UK GDPR and the Data Protection Act 2018. It  applies to all parents, carers, young people and school partners who access BeWell  services.  


2. Information BeWell Collects  


BeWell only collects the minimum information needed to provide safe, appropriate  wellbeing support. This may include:  

• Your name and contact details  

• Year group and school (if in education)  • Brief wellbeing notes (minimal and non-clinical) 

• Session dates and attendance  

• Safeguarding information shared with the school’s Designated Safeguarding  Lead (DSL)  

• Emails or messages exchanged with parents/carers or school staff  BeWell does not collect detailed clinical notes, diagnostic information or unnecessary  personal data.  


3. How Your Information Is Used 


Information is used for:  

• Providing wellbeing sessions and support  

• Communicating with parents/carers and school staff  

• Safeguarding and ensuring safety  • Managing bookings, invoicing and administration  

• Monitoring attendance and service delivery  Information is never used for marketing, profiling or automated decision-making.  


4. Confidentiality & Safeguarding 

 

Everything shared in sessions is treated with sensitivity and respect. Information will  only be passed on when:  

• There is a concern about a young person’s safety  

• A safeguarding issue needs to be shared with the DSL/local authorities  • The young person has asked for support involving a parent/carer or staff member  • There is a legal requirement to disclose information  BeWell follows each school’s safeguarding policy and works closely with the DSL when  needed. Alternatively, BeWell follows its own safeguarding policy (BeWell 's Safeguarding Policy is available on request)  


5. Legal Basis for Processing Information


 BeWell processes information under the following lawful bases:  

• Legitimate Interests: Providing wellbeing support to students/clients  

• Consent: When parents/carers or young people agree to share information  

• Legal Obligation: Safeguarding responsibilities and statutory record-keeping  

• Contract: When a client/school or parent/carer engages BeWell to provide a service  


6. How Information Is Stored & Protected 


 BeWell takes data protection seriously. Information is stored securely using:  

• Password-protected digital systems  

• Encrypted devices  

• Minimal written notes  

• Restricted access (only the BeWell practitioner)  

Email communication is stored securely and protected through encrypted systems.  No information is shared with third parties unless required for safeguarding or agreed  with you. 


 7. How Long Information Is Kept 


 BeWell keeps information only for as long as necessary:  

• Session notes: up to 12 months after support ends  

• Safeguarding records: in line with the school’s safeguarding retention policy or  my own. (see BeWell safeguarding policy).  

• Contact details and administrative records: up to 6 years for accounting  purposes  After this, information is securely deleted or destroyed.  


8. Your Rights Under UK GDPR  


You have the right to:  

• Access the information BeWell holds about you or your young person if under 18  years of age.  

• Request corrections if something is inaccurate  

• Ask for information to be deleted (unless safeguarding or legal obligations  prevent this)  

• Request limits on how your information is used  

• Withdraw consent at any time  


Requests can be made by email and will be responded to within 30 days.  


9. Sharing Information with Schools  


BeWell works in partnership with schools. Information may be shared with:  

• The Designated Safeguarding Lead  

• Pastoral or wellbeing staff  

• SEN teams (if relevant)  Only information necessary for safety, support or coordination is shared.

11. Complaints
